Why do WhatsApp Business accounts get banned? Real causes and how to avoid it

WhatsApp bans or restricts accounts over messages reported as spam, use of unofficial apps, bulk sending without consent, and a sustained low quality rating.

“My WhatsApp Business got banned” is one of the phrases we hear most from merchants who reach out to ConexiaChat. This guide doesn't promise it'll never happen to you — nobody can promise that — but it does bring together the causes Meta and WhatsApp officially document, linked to the source, so you know exactly what's at stake and why.

Why was my WhatsApp Business banned or restricted?

It's almost always a mix of messages people block or report, bulk sending without permission, or using a modified app instead of the official one.

Meta calculates a quality rating for each phone number, based on blocks, reports and negative feedback from recent days, weighting the most recent activity more heavily.

StatusWhat it meansWhat happens
ConnectedNormal qualityYou send within your conversation limit with no restriction
FlaggedLow quality detectedYou have 7 days to improve it; if it doesn't improve, your business-initiated conversation limit drops a tier
RestrictedYou hit your daily conversation limitYou can't start new conversations for 24 hours, but you can keep replying

On top of that, WhatsApp's own Terms of Service explicitly prohibit “bulk messaging, auto-messaging, auto-dialing” without authorization, and building software that mimics the service and offers it to third parties without permission. Using a modified app, or sending the same message to hundreds of contacts who never asked for it, falls squarely into that category.

What is the quality rating, and how is it calculated?

It's a per-phone-number score that Meta recalculates based on recent days: blocks, reports, and how well people respond to your messages.

It isn't a fixed number: it moves up and down based on how people react to what you send. A block or a report weighs more if it's recent than if it happened weeks ago.

How many messages can I send before WhatsApp limits me?

New accounts start at 250 business-initiated conversations every 24 hours, and that limit rises automatically if you keep good quality and use at least half your quota.

The limit only applies to conversations started by the business with a template, outside the 24-hour window. Replying to a customer who wrote to you doesn't count against that quota: you can keep that conversation going with no limit while it stays open.

Meta raises the limit automatically — from 250 up to 2,000 and beyond — when the business sends good-quality messages across all its numbers and templates, and has used at least half its current limit over the last 7 days.

Do I need consent (opt-in) from every customer?

Yes: WhatsApp requires an explicit opt-in naming your business before you write first to anyone, and not having one is one of the most common causes of bans.

A valid opt-in can come through different channels — SMS, your website, a phone IVR, even paper — but it always has to make clear the person agrees to receive messages from your business, and it has to spell out the business's name in full.

That's different from an agent seeing order history when the customer writes to you first: nothing new needs to be requested there, since they're the one starting the conversation. Opt-in applies when the business is the one writing first.

Does the official WhatsApp API protect me from being banned?

It takes you out of the gray area of unofficial apps, but it isn't a guarantee: you still have to respect opt-in and messaging limits, just like in the app.

Moving to the official WhatsApp API through a Meta Tech Provider removes the risk of using an unauthorized app, but the underlying rules — opt-in, limits, quality rating — stay the same. No platform, ours included, can promise you'll never be banned.

What does change is that you don't have to start from zero: with coexistence you connect your current number to the API without losing it or telling your customers anything's changed.

How do I avoid getting banned while using WhatsApp Business?

Use only official channels, get opt-in before writing first, don't send the same message to contacts who didn't ask for it, and keep an eye on your quality rating.

  • Use only the official app, or an API connected through a Meta Tech Provider. No modified apps.
  • Get a clear opt-in, naming your business, before writing first to anyone.
  • Don't blast the same message to contacts who never asked for it: that's exactly what the Terms of Service forbid.
  • Reply within 24 hours whenever you can: those replies don't use up your conversation limit.
  • Check your account status regularly to catch low quality before your limit drops.

Frequently asked questions

How long does a WhatsApp Business ban last?

It depends on the reason. If your number got "flagged" for low quality, you have a 7-day window before your conversation limit drops. If you hit your daily limit, it lifts in 24 hours. A ban for a serious Terms of Service violation can be permanent and requires an appeal.

Can I recover a banned account?

Meta offers an appeal process from the app or Business Manager, but the outcome depends on the reason. Using an unofficial app tends to be the hardest case to reverse.

Does moving to the API help if I've already been banned before?

The API doesn't erase past violations tied to the number; it's a preventive measure going forward, not a clean slate.

Do replies to a customer count against my message limit?

No. Replying within 24 hours to a conversation the customer started doesn't count against your business-initiated conversation limit.

Want to migrate without flying blind?

The official API with coexistence keeps your number the same and shows you, in the same inbox, who's writing and what they've bought from your store.
